Proposal: an online bean shop for Northwind Coffee

    1. What you told us

    • You run two cafes, and you do everything yourself.
    • You want people to order beans online.
    • Your current site is one page, with no shop. You use Square in store.
    • Christmas is your big month, and you want this live by 1 Dec.
    • You are worried about cost.

    2. What we will do

We will add a bean shop to your current site, so customers can order and pay for beans online.

    • A shop page with each of your beans, its photo, price and bag sizes. [ask: How many beans and bag sizes do you want to sell at launch?]
    • Checkout and payment through Square. [ask: Should online payments run through your existing Square account?]
    • Delivery, pickup, or both. [ask: Do you want to post beans, offer pickup at the cafes, or both? If you post, where to?]
    • An order email to you and to the customer.
    • Tested on phones, with a short how-to so you can change prices and stock yourself.

    3. Not included

    • A rebuild of the rest of your one-page site.
    • A separate page for each of your two cafes.

    Both can be added later.

    4. Timeline

WeekWhat you receive at the end of the week
Week of 13 OctBean list, prices and delivery options agreed
Week of 20 Oct [estimate]A first look at the shop page on a private link
Week of 27 Oct [estimate]A working test shop with every bean. You place a test order
Week of 3 Nov [estimate]Your changes made. The shop goes live on your site

That leaves the rest of November to fix anything before 1 Dec.

    5. Price

    OptionWhat it coversPrice
Smaller first stepOne order page on your current site, with a Square payment link for each bean$950 [estimate]
RecommendedThe full bean shop in "What we will do"$2,400
FullerThe bean shop, plus a rebuilt site with a page for each cafe$4,200 [estimate]

Each price is fixed. It covers everything listed and does not change unless you ask for more. You see working pages at the end of every week, so you always know where your money is going.

You can start small and add the rest later at the same prices.

    6. Next step

A 20 minute call on [ask: Which day before the week of 13 Oct suits you?] to confirm the bean list and delivery options. Once you say yes, work starts the week of 13 Oct.

Floor check (for you only, not for the client)

Your floor is $70 an hour.

    OptionPriceHoursFloor (hours x $70)Result
    Smaller first step$950 [estimate]12 [estimate]12 x $70 = $840Clears the floor
    Recommended$2,40036 [estimate]36 x $70 = $2,520Under the floor by $120
    Fuller$4,200 [estimate]56 [estimate]56 x $70 = $3,920Clears the floor

The 36 hours for the recommended option: setup and Square 6, design 8, adding products 8, testing 6, calls and changes 8 [estimate]. With an owner who does everything, expect slow replies and extra calls.

Recommended option: the lowest price that clears the floor is $2,520. Cut the scope rather than raise the price, because you quoted $2,400 on the call and the client is wary after a past agency. For example, have the client supply the product photos and descriptions. That saves about 4 hours [estimate], bringing it to 32 hours, or $2,240. If you do this, add one line to "What we will do" saying the client provides photos and text.

Questions to answer before you send

  1. You

Here are my notes from this morning's call with Northwind Coffee. I build websites for small food businesses, and $70 an hour is the least I work for.

  2. Claude

Recommended option: the lowest price that clears the floor is $2,520. Cut the scope rather than raise the price, because you quoted $2,400 on the call and the client is wary after a past agency.

About this item

Paste the notes from a sales call and get back a one-page proposal: what the client told you, what you will do, what is left out, a timeline, three price options and a single next step.

Under the proposal sits a floor check for your eyes only. It estimates the time behind each option, multiplies them by the lowest rate you work for, and flags any price that falls short, with the lowest price that clears it.

It uses the client's own words, so they feel heard, and it marks every price it sets as an estimate. Anything missing from your notes comes back as a question for you to answer before you send it.

What you get

  • A one-page proposal with three price options
  • A floor check that flags any price under your lowest rate
  • A list of questions to ask before you send it

Good fit

  • Freelancers and small studios who send a few proposals a month

Not for

  • Formal tenders with a required response template

Known limitations

  • It only knows what is in your notes. Thin notes give a thin proposal, with more open questions.
  • Its time estimates are a starting point. Check them against how long your past projects really took.
  • It writes fixed prices. Day rates and retainers need a small edit afterwards.

Questions

Will it make up prices or dates?
It uses the price and dates in your notes exactly. The other two prices and every time estimate are marked as estimates for you to check, and any other missing detail comes back as a question, so you never send a guess.
What is the floor check?
For each option it estimates your hours or days, multiplies them by the lowest rate you gave, and says whether the price clears that floor. If one does not, it gives the lowest price that does. The check is for you; it sits below the proposal, so leave it out when you send.
Can I use my own proposal layout?
Yes. Paste your layout under your notes and say "use this layout". It keeps the rules about scope and open questions.
How long are the notes it can handle?
A full call transcript is fine. Typed bullet points work just as well.
